About us

The Defence Bank Foundation is an independent charity established by Defence Bank to give back to the Defence Community by supporting Australian Defence Force Veterans suffering from mental health conditions including post-traumatic stress disorders.  To provide this support, in 2016 the Foundation established the Defence Community Dogs (DCD) program – an award nominated program which rescues dogs, trains them to become Assistance Dogs through Correctional Centres and then provides them free of charge to ADF veterans to help them regain independence and rebuild their lives.
 

Job Description

The opportunity

In this newly created role, you will report directly to the Managing Director of Defence Community Dogs and work closely with the small and passionate team at the Defence Community Dogs program. You will be a purpose driven all-rounder with a positive attitude.  You’ll be someone who enjoys variety and is willing to solve whatever problem needs solving and roll up your sleeves to do whatever job needs doing.  There will be the flexibility to work in a hybrid capacity between the Melbourne based Head Office and remotely from home. 

In this diverse role you will ensure operational, financial and administrative excellence, enabling the charity to achieve its mission.  This role oversees daily operations, financial monitoring, HR, compliance and the implementation of strategic initiatives.

This specialist position is responsible for, but not limited to:

  • Supporting the MD with Day-to-Day DCD Business Ops Management.
  • Managing IT support (hardware, software, phones, messages on hold).
  • Assisting the MD to develop Board, Strategy and governance documentation. 
  • Salesforce maintenance and reports and liaising with the supplier.
  • Overseeing payroll for charity employees and management of HR matters relating to employees and volunteers  (including implementation of a new payroll system, annual requirements, employer obligations).
  • Preparing and sending out paperwork to veterans for workshops
  • Managing of Team and volunteer communication and the relationship with the Dog suppliers.
  • Conducting data analysis and provide reporting on all aspects of the business including finance and compliance.
  • Supporting the MD to train new staff members and manage uniform purchasing, issuance and replacements
  • Representing DCD as required (e.g.: Transition Seminars, Defence Industry Events)

About you

To ensure your success, you will have:

  • At least 3 years experience in a senior Administration/Operational related position. 
  • A demonstrated understanding of the not-for-profit sector. .
  • A passion for the work undertaken by the Foundation and its programs.
  • The ability to organise yourself and others during busy times with competing priorities.
  • Experienced in managing staff is highly regarded.
  • A degree in Business or Administration is highly regarded.
  • An understanding of the ADF is highly regarded.

You also have demonstrated experience in:

  • Analysis and problem solving.
  • Communicating clearly in writing and verbally 
  • Developing and maintaining effective working relationships with stakeholders at all levels. 
  • Maintaining databases and/or working with CRM applications (Salesforce is desirable).
  • Managing multiple conflicting priorities, ensuring work is prioritised and you can respond to emerging situations appropriately. 
  • Planning and organising events and running small projects. 
  • Utilising Microsoft Office to produce documents, presentations, and reports.
  • Utilising a payroll system for a charity or small business.
  • Supporting mental health first aid. 
  • Working autonomously with limited direction and demonstrated initiative and personal drive.
